Choosing software: an evaluation matrix for IT tools

When several solutions are candidates, a structured evaluation helps. A matrix makes the decision traceable instead of gut feeling.

How to proceed

  • Gather requirements: what must the solution do (must-have), what would be nice (nice-to-have)?
  • Weight criteria: important ones receive more points, for example security, features, operation, integration, cost, vendor dependency.
  • Name candidates: two to four realistic options.
  • Score: rate each option per criterion on a scale (for example 0 to 5).
  • Compute the total: weight times score, summed.
  • Cross-check: if the result differs strongly from expectation, review criteria and weights.

Example criteria

  • Features and fit with your processes.
  • Security, data protection and data location.
  • Operating effort and required know-how.
  • Integration into existing systems and sign-in (SSO).
  • Total cost over several years, including operation.
  • Future viability: development, community, vendor stability.
  • Exit capability: can you get your data out again?

Proof of concept as evidence

A matrix does not replace a practical test. For promising candidates a small trial with real scenarios is worthwhile. It shows whether usability, performance and integration deliver what the documentation promises. In our Labs area we build such test environments, for example for Nextcloud or Proxmox.

Frequently asked questions

What is an evaluation matrix?

A table in which solutions are rated against weighted criteria, producing a traceable overall rating (weighted scoring).

How many options should be compared?

Two to four realistic candidates. More causes a lot of effort without additional insight.

What is a proof of concept for?

It checks on a small scale with real scenarios whether a solution works in your environment before you commit.
