AI policy for employees: contents and outline

A short AI policy gives employees certainty: what is allowed, what is not, and who is the contact person?

By INZOSO Resilience · Updated · 1 min read

What a good AI policy contains

  • Scope: who and which services does it apply to?
  • Permitted services: a short list of approved tools and access routes.
  • Data rules: which data may be entered, which never?
  • Duty to check: results must be checked before use.
  • Labelling: when must AI support be disclosed?
  • Contact person: whom to ask when unsure or in an incident?
  • Consequences and review: how is the policy maintained?

How to make it effective

  • Keep it short, ideally one page.
  • Give examples: allowed and not allowed.
  • Train briefly and answer questions.
  • Offer suitable approved tools, otherwise staff will work around them (see shadow AI).
  • Review regularly because services change quickly.

Note

A policy is an organisational tool. Employment law questions, for example on co-determination, should be clarified with legal counsel where needed.

Frequently asked questions

How long should an AI policy be?

One page is often enough. More important than length is that it is understood and followed.

Must I ban AI?

Not necessarily. A ban without an alternative encourages shadow AI. Clear rules and approved tools are better.

Who writes the policy?

Management is responsible. We support the draft and the introduction.
