Shadow AI: when employees use AI unnoticed

Employees often use AI privately at work. That is understandable but carries risks for data. Here is how to handle it.

What is shadow AI?

Shadow AI means using AI services without the knowledge or approval of the company, for example through personal accounts. There is usually no bad intent behind it, just the wish to work faster.

Risks

  • Confidential data, customer data or source code ends up in unchecked services.
  • Unclear legal position on data protection and trade secrets.
  • Faulty results are adopted unchecked.
  • No overview of which services are in use.

What helps

  • Talk openly and ask about needs instead of banning across the board.
  • Offer approved, checked tools, local or in the cloud.
  • Introduce a short AI policy and train staff.
  • Secure technically: central sign-in, permissions, filters against data leakage.
  • Name a person responsible as a contact.

Detecting it

A first step is an open conversation in the team. Technically, services in use can be recognised from network and sign-in data, as far as this is permissible under data protection and employment law and has been agreed.

Frequently asked questions

Is private use of ChatGPT at work allowed?

The company should regulate this. Without a rule and without review, entering confidential data is risky.

How do I find out whether shadow AI occurs?

Best with an open conversation and an anonymous survey. Technical analysis only after agreement and legal review.

Does a ban help?

Rarely on its own. Without an alternative, staff work around it. Rules plus approved tools work better.
